Events Manager

Reporting to the Director of Special Events, the primary responsibility of this position is to manage a hospitality program at various NASCAR sanctioned events. Responsibilities of this position include but are not limited to: day-to-day client and account management and onsite management of the at-track hospitality program. Position location is in Charlotte, NC. Management and/or support of other events outside of the hospitality program will be added as schedule permits.

ESSENTIAL DUTIES – HOSPITALITY PROGRAM SPECIFIC

  • Day to day client account management – current scope is 10-12 events per year
  • Coordinate with all internal departments (production, creative services, operations, transportation, fabrication) on all event needs
  • Prepare program budgets, event timelines, invoice generation, vendor booking and event recaps
  • Negotiate and execute venue contracts and ticket allocations
  • Facilitate food and beverage orders and maintain hospitality unit stock per client’s direction
  • Coordinate and manager all staff travel (1-2 additional team members depending on event scope)
  • Directing the set-up of each event and communicating with clients and vendors to ensure successful execution of event in real time
  • Secure contract labor to assist with hospitality unit set up and tear down
  • Facilitate driver meet & greet and special guest appearances as needed
  • Manage and maintain hospitality unit during event hours: food and beverage stock, infield guest transportation support (golf cart), guest check-in and gift distribution
  • Travel to races, client events and team meetings as needed
  • Support the Special Events department with other events as schedule allows
  • Other duties as assigned by the leadership team

ESSENTIAL DUTIES – SPECIAL EVENTS

  • Coordinate with all internal departments (A/V, creative services, operations, production, etc) to determine operation needs for events
  • Creation and implementation of budgets for each event
  • Creating detailed timelines for team members, vendors and clients
  • Creating presentations and proposals for the layout of the event
  • Partner with creative to conceptualize and manage artwork design and production
  • Serve as a liaison between clients, vendors and other CSM departments
  • Ordering catering, décor and et cetera for clients for events
  • Coordinating with different departments to ensure successful execution of event
  • Supervising and directing a team of 3 to 50 event staff on-site
  • Directing the set-up of event and communicating with clients and vendors to ensure successful execution of event in real time
  • Troubleshooting logistical problems as they arise and ability to solve problems on the fly
  • Traveling to and from event site
  • Other duties as assigned by the leadership team

REQUIREMENTS

  • Associate’s Degree or equivalent experience, Bachelor’s Degree preferred
  • 3 years of event management experience, 5 years of event management experience preferred
  • Must have experience in entertainment, event or sports fields; NASCAR experience preferred
  • Willingness to travel to approximately 10 NASCAR races plus additional non-NASCAR events as needed; usually over weekends; and occasionally holidays
  • Demonstrate organizational skills and extreme attention to detail
  • Excellent communications skills, written and oral, including client presentation skills
  • Skilled in time management, ability to estimate project completion timelines
  • Customer and personal services skills, understanding client needs and have the ability to go above and beyond to meet them
  • Skilled in budget estimation based on client specifications and event production needs
  • Ability to be flexible and operate in a highly fluid and quickly changing environment
  • Ability to work with a group or team to complete projects as well as having the ability to work independently and succeed in a fast-paced, dynamic environment
  • A positive, hard-working mindset; willing to tackle projects of all size and scale
  • Excellent interpersonal skills; experience in client management is a plus
  • Proficiency in Microsoft Office Suite, Google Docs, Dropbox and other applicable online platforms

WORK ENVIRONMENT

This job operates in a professional office environment as well as onsite at event. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee is frequently exposed to outdoor temperatures, airborne particles and loud noise levels in the work environment.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling and climbing throughout the day. The employee must frequently lift and move items up to 10 pounds.
